We provide you with an Excel spreadsheet template to fill in, with multiple examples and specific advice. Thanks to our model, you know exactly what information you need to collect and you don't make unnecessary efforts.

Installations and usage

Licensing requirements depend in particular on the physical or virtual host servers on which the software is installed and on the human users and devices using the software.

Whether or not you have tools that automatically consolidate information about your IT infrastructure and software installations, we guide you through this collection step. You will find in your customer space all our guides, standard requests and scripts to help you, for all environments: Windows, Linux or Unix.

In concrete terms, we help you to:

  • Define your perimeter of virtual and physical machines on which to perform the compliance assessment,
  • Collect the technical characteristics of the host servers by comparing them to our catalog: processor model, number of cores, virtual machine settings,
  • Collect software installation signatures,
  • Bring together users using these software.

Procurement and contracts

Available software rights depend on the history of license purchases, maintenance payments, successive transfers and possible conversions by the editor.

Whether or not you have a structured repository of your contracts and rights, we guide you through this collection step.

  • We help you to determine your quantities of licences already acquired.
  • We help you to think about which licenses you can buy in addition to the ones you have to buy to make up for any shortfall.
  • You populate the corresponding sheet of the Excel workbook with the information from this collection.

Improve their quality

Experience shows that collected data are rarely of sufficient quality for accurate and exhaustive analysis from the first iteration onwards. Our online tool helps you during this step to audit and improve the quality of the data you have collected in the Excel workbook, until you are satisfied with it.

The results of our tool show you the percentage of correct data so that you can judge whether or not it is worthwhile to continue your correction work. In addition, clear messages indicate the precise cause of each error and possible ways to correct it. All anomalies are highlighted in the Excel file after analysis, and their correction is facilitated.

You can also:

  • Ask for our support (for example, if you don't know the number of cores of a particular processor),
  • Formalize conservative hypotheses (for example, you do not know the edition of a product for one of your servers and you decide to manually enter a "high" edition as a precaution).

You can resubmit your data in Excel format as many times as necessary, in order to improve their quality up to the desired level. You have control and can trigger the final compliance calculation at any time on the valid subset of your data.

Compute your compliance

When you move to this third step, SamBox.io determines the optimal way to match your acquired licenses with your installations and usage. Our optimization engine is the only one that completely solves this difficult problem with a solid mathematical theoretical approach.

Each of the licenses in your possession will be automatically assigned to a target on which it is best used (a target can be a physical server, a virtual server, a user... depending on the metrics and licensing rules). You will never have to enter a licensing rule; all rules are natively embedded in our engines.

At the end of this process, two situations arise.

  1. You already have enough licenses to cover all your needs. Our engine continues its work in order to maximize the number of on-the-shelf licenses available for your future projects or for which you can interrupt software assurance.
  2. Your current acquisitions are not sufficient to cover all your needs. Our engine shows you the optimal combination of licenses to be bought, which minimizes the amount to spend to return to a compliance situation.

In all cases, we provide you with a complete overview with multiple views:

  • a balance sheet between owned quantities and requirements, per type of license,
  • a balance sheet for each of your subsidiaries,
  • a detailed table with the precise combination of acquired licenses that was used to license each installation, server by server.

At the end of the process, you have all the keys in hand to have a clear vision of your compliance situation.

You can then run simulations to assess the impact of future projects or contractual transactions.
